Rentals
Manage rental and unit operations — unit types, lease contracts, pricing rules, reservations, and returns.
Updated June 1, 2026
Rentals runs asset- and unit-based renting — define units, take reservations, manage lease contracts and returns, and bill on a rental cycle. Suits equipment hire, vehicle rental, and property.
Set up units
- Go to XO Operations → Rentals → Unit types → New.
- Define unit types and the individual units under each.
- Set rental pricing rules (per hour/day/week, seasonal rates, deposits).
Reservations & contracts
- Create a reservation order for a unit and period; XO checks availability.
- Convert to a lease contract with terms, deposit, and billing cycle.
- Bill rent on the cycle (links to Invoicing).

Returns
- On return, record condition and any damages.
- Settle the deposit (refund or deduct) and close the contract.
Best practices
- Use pricing rules for seasonal demand rather than editing prices manually.
- Track availability to avoid double-booking units.
- Record condition on return to justify deposit deductions.
Troubleshooting
- Unit shows unavailable. Check overlapping reservations and maintenance holds.
- Deposit not settled. Complete the return step before closing the contract.
