Rentals

Manage rental and unit operations — unit types, lease contracts, pricing rules, reservations, and returns.

Rentals runs asset- and unit-based renting — define units, take reservations, manage lease contracts and returns, and bill on a rental cycle. Suits equipment hire, vehicle rental, and property.

Set up units

  1. Go to XO Operations → Rentals → Unit types → New.
  2. Define unit types and the individual units under each.
  3. Set rental pricing rules (per hour/day/week, seasonal rates, deposits).

Reservations & contracts

  1. Create a reservation order for a unit and period; XO checks availability.
  2. Convert to a lease contract with terms, deposit, and billing cycle.
  3. Bill rent on the cycle (links to Invoicing).

Returns

  1. On return, record condition and any damages.
  2. Settle the deposit (refund or deduct) and close the contract.

Best practices

  • Use pricing rules for seasonal demand rather than editing prices manually.
  • Track availability to avoid double-booking units.
  • Record condition on return to justify deposit deductions.

Troubleshooting

  • Unit shows unavailable. Check overlapping reservations and maintenance holds.
  • Deposit not settled. Complete the return step before closing the contract.
