Log fuel and operating costs, reconcile fuel cards, and surface cost-per-km outliers across the fleet.

Fuel & Costs captures what each vehicle costs to run — fuel, tolls, fines, and consumables — so you can spot waste and benchmark cost-per-km.

Log fuel
- Go to XO Fleet → Fuel → New entry.
- Select the vehicle, date, liters, amount, and odometer.
- Save — XO calculates consumption (L/100km) and cost-per-km from the odometer delta.

Fuel cards
Import fuel-card statements and reconcile transactions to vehicles/drivers — flagging mismatches (e.g. a fill larger than the tank, or a card used while the vehicle was idle).
Cost outliers
XO highlights vehicles whose cost-per-km or consumption drifts above the fleet norm — an early signal of a mechanical issue, fuel theft, or a driver behavior problem.
Best practices
- Always capture the odometer with fuel — it’s what makes consumption meaningful.
- Reconcile fuel cards monthly to catch misuse.
- Investigate outliers promptly; they often pay for the whole system.
Troubleshooting
- Consumption looks wrong. A missing/incorrect odometer reading breaks the calculation.
- Card line won’t reconcile. Confirm the card is mapped to the right vehicle.
