Vehicles is the master record for every asset in your fleet — registration, documents, costs, and lifecycle — and the foundation the rest of XO Fleet builds on.

Add a vehicle

Go to XO Fleet → Vehicles → New vehicle.
Enter identity: plate number, make/model, year, VIN, color.
Record registration (Istimara) and insurance with expiry dates.
Set the acquisition details (purchase or lease) — link to the asset in Fixed Assets for depreciation.
Save.

Documents & expiry

Upload Istimara, insurance, inspection (Fahas), and operating cards with expiry dates — XO surfaces upcoming expiries on the fleet dashboard so renewals never lapse (see Compliance).

Odometer & lifecycle

Log odometer readings (manually or, with Tracking, automatically) — they drive usage-based maintenance.
Track the vehicle through active → in maintenance → disposed/retired.

Assignment

Assign a vehicle to a driver, branch, or department; history is retained for audit.

Best practices

Keep document expiries filled — they power renewal reminders.
Link each vehicle to a Fixed Asset so depreciation and book value stay aligned.
Use assignment rather than free-text so accountability is clear.

Troubleshooting

No renewal reminder. Confirm the document has an expiry date set.
Odometer not updating automatically. That requires XO Fleet · Tracking hardware.
